Automation rules
Make BnbWise create tasks, message your cleaner and remind you.
Automation is where BnbWise stops being a ledger and starts doing work for you. A rule says: when this happens, do these things.
8.1 The trigger — when a rule runs
When a reservation is imported. The rule fires for each new reservation, and its timing is anchored to that stay's check-in or check-out. Optionally restrict it to same-day turns, or to stays where the next guest arrives within N days.
On a schedule. Every N days, weeks or months — on a chosen weekday or day of the month, at a chosen time.
8.2 The actions — what it does
A rule can create a task, message a contact, or both.
Create a task
Give the task a title and an optional checklist, and set when it's due:
- When a reservation is imported — the due date is relative to that stay: 1 day before check-in, on the check-out day at 11:00, and so on.
- On a schedule — the schedule is the due date. The task is created for each occurrence, due on that date at that time.
A rule's task can also remind you, with exactly the same options as a task you add by hand: push, WhatsApp or SMS, repeating every 5 minutes to 1 day until the task is done. Reminders belong to the task, so a rule that doesn't create one can't send them — and the same consent rules apply.
Message a contact
Pick a contact and BnbWise texts them — over WhatsApp or SMS, with an optional fallback to the other channel if the first fails.
- Service time — when the work should actually happen: on the check-in or check-out day, N hours or days before or after, or the first chosen weekday before/after, optionally "ready by" a specific time.
- Message template — your own wording, with variables filled in automatically: service time, contact first/last name, check-in and check-out dates and times, and a table of upcoming reservations. A live preview shows a real example.
- Message language — English or Spanish, which also localizes the dates.
- When is it done? Choose one:
- When the message is sent — fire and forget.
- When they reply — the task stays open until they confirm (they reply
1to accept or2to decline). - Only when I mark it done — nothing closes it automatically.
- Follow-up — send one reminder if there's been no reply by a chosen moment.
- Alert me — notify you if it's still unconfirmed by a deadline you set.
8.3 What happens afterwards
Every rule-generated task carries a status you can see on Home and Tasks:

Alongside it is a message log: every send, delivery, follow-up and reply, with timestamps.
Rules can be switched off without deleting them.
